Supplier Onboarding Process : ​

Step 1: The client sends an email to the new vendor, with an Excel file for the Vendor Onboarding form. The vendor fills it out and sends it back.

Step 2: The client checks the form and gets approval if everything is correct.

Step 3: After management approval, the client enters the information into their ERP software and attaches the documents.

This process is slow and not efficient.

Using ProVen SRM (Supplier Relationship Management) automates and simplifies the whole process of onboarding vendors.

To onboard a new supplier, they are given a login and password for the SRM portal. The vendor fills out the Vendor Onboarding form online, including organization details and attaching required documents.

Auto Verification of Vendor Information:

When the vendor completes and sends the form, the SRM application checks the details from government portals. It verifies things like GST number, PAN number, bank details, and more.

Purchase Requisition:

RFQ ( Request for Quotation ) :

To create an RFQ (Request for Quotation), you search for Purchase Requisition records in your SRM portal. You can use parameters like Material Code, Business Unit, PR date, and Material Category.

After selecting the Purchase Requisition records, you create the RFQ. Once the RFQ is approved, it is shared with the vendors through the SRM portals.

The buyer or purchase team can search for vendors based on parameters like Vendor Ratings, Category, Sub Category, Vendor Location, and Type. They can share the Purchase Requisition records with the chosen vendors by clicking a button.

Vendors receive notifications via email, WhatsApp, SMS, and a notification bell in the SRM portal when a new RFQ is shared with them.
